A staff list is a document that provides the names and relevant details of staff (members of a service professional team) working a given event. It lists information including positions, contact information, start and end times, and total hours.

Best Practices for Managing a Staff List

  1. Pre-Event Review

    Review the staff list and assess each team member’s position, name, and contact information. Consider their positions in conjunction with their skills and qualifications to consider how to match them to suitable primary responsibilities. Prepare for absences by also considering how to match them to secondary responsibilities.

  2. Event Check-In and Attendance

    Establish a clear check-in process and area. Document the arrival time of each team member. Note punctuality, tardiness, and absences.

  3. Uniform Inspection

    Inspect each team member’s uniform to ensure it adheres to the designated dress code. In this, attend to: cleanliness, fit, color, and the appropriacy of selected accessories. Note and address any team members out of compliance.

  4. Responsibilities Delegation

    Delegate responsibilities by considering the team member’s position in conjunction with their skills and qualifications. Responsibilities often include building and serving beverages, passing beverages and food items, serving tables, running food, and maintaining sanitation.

  5. Staff Monitoring and Communication

    Refer to the staff list to check in periodically with team members. Document notes on performance excellence and performance issues. Communicate notes to any relevant supervisor or manager. Retain records to provide insights for future planning, performance reviews, or post-event analyses.
