The Captain as Communicator
The captain is responsible for engaging in effective communication, as this directly impacts operational success, client satisfaction, and the service professional team morale.
Core Principles of Effective Communication
Effective communication prioritizes the following items:
Clarity. Use concise language and avoid jargon to prevent misunderstandings. Break complex information or instructions into manageable segments.
Consistency. Align your communication with organizational values and goals. Regularly update your team to ensure everyone is on the same page.
Active Listening. Listen to relevant information, paraphrase it back, and confirm the need/desire for solutions.
Adaptability. Tailor your approach to different interlocutors (e.g., clients, team members with different levels of experience), in different situations (e.g., urgent or non-urgent), and using different mediums (e.g., verbal or written).
Ensure Effective Feedback. Establish a culture of communication by encouraging interlocutors to ask questions and provide input. Create regular opportunities for team feedback. Act on feedback to demonstrate its value.
Self-Assess. Regularly assess your communication skills and their impact on team performance (e.g., monitoring participation in team discussions or meetings, evaluating team members’ feelings of trust by noting their openness in communicating challenges).
Resolve Conflict Effectively. Use the H.E.A.R.T. Approach [1]
A. Hear the person out: Give the individual your full attention. Listen to their concerns without interrupting.
B. Empathize with their feelings: Show understanding and compassion for their experience.
C. Apologize for any wrongdoing: Sincerely apologize for any inconvenience or mistake, even if it wasn't your fault.
D. Respond with a solution: Provide a practical and effective solution to address their concerns.
E. Thank them for bringing the issue to your attention: Show appreciation for their feedback, as it helps improve the event planning process.
