Pre-Event Preparation and Setup

Pre-event preparation refers to the stage prior to an event in which service professionals, and particularly the captain, prepare for the event.

  1. Review Safety Protocols

    Review all of the details related to safety independently and (if necessary) with the client.

  2. Review Documentation and Equipment Inventory

    Review all details of event documentation (e.g., BEO, ROS) independently, with the client, and with the culinary team prior to the event. Take inventory of all relevant equipment.

  3. Conduct a Pre-Event Walkthrough

    Schedule the walkthrough with enough time before the event to address any issues and choose a meeting location. Conduct a walkthrough. Take notes and update any necessary event documentation.

  4. Conduct a Team Meeting

    Gather the service professional team. Conduct a team meeting. Ensure alignment with the purpose and objectives for the event, as well as with any client expectations. Communicate the steps of service and proper communication channels. Assign responsibilities.

  5. Administer Setup

    Administer the event setup, attending to the client, culinary team, and service professional team.
