Post-Event Breakdown
Breakdown refers to the stage at the end of a service or event in which service professionals ensure the venue is restored to its original state. Breakdown includes administering a hard breakdown, conducting inventory reconciliation, and debriefing with the staff.
Administer a Hard Breakdown
The bar captain directs bar staff to begin a hard breakdown (following a client’s request). A hard breakdown involves the bar staff fully returning the space to its original state or (if necessary) reset for a subsequent service phase or event. This is a final breakdown that completes bar closure in the absence of guests.
The bar staff ensures all bars, equipment, inventory, and rental items are properly cleaned, inventoried, and packed away (if applicable). Specifically:
Linens: Remove bar linens and separate specialty florist or event planner linens from house/caterer linens and bag them distinctively.
Burn Ice: Melt all remaining service ice and chilling tubs using hot water. A team member must actively monitor the drainage to ensure the sink or well drain does not clog or overflow. Check the bottom of the wells for broken glass or bottle caps before draining and wiping dry.
Glassware and Rentals: Empty, invert (rim down), and crate all glassware into matching rental racks. Keep rental equipment, crates, and glassware strictly separated from venue/house items.
Rolling and Portable Bars: Wipe down speed rails and counters, lock all compartments, and roll bars back to their designated storage location or freight staging area.
Bar Kits and Smallwares: If a dish room is operational, transport bar tools to the BOH team for washing; otherwise, clean and dry by hand. Inventory and pack all bar tools (shakers, strainers, jiggers, spoons, speed pourers, and bar mats) to prevent loss.
Refuse and Recycling: Separate glass bottles, trash, and cardboard according to venue recycling protocols. Monitor glass bin weight to ensure safe transport.
Area Reset: Pick up and clear all loose items, trash, bottle caps, and stray packaging from the floor and perimeter behind the bar line so the space is clear of debris.
This includes completing a final walkthrough of the area to check for any missing items. The bar captain oversees all processes and documentation in this (including checking beverage inventory sheets).
2.Conduct Final Inventory Check and Reconciliation
Conduct a final inventory check. Have an accurate final count for all inventory and ensure all alcohol is properly organized and secured according to venue protocols.
Complete the beverage inventory/pull sheet with starting counts, consumption, returns, and any spillage.
If alcohol was provided by the client, securely box and pack all unopened bottles for client load-out.
Provide a copy of the completed beverage inventory sheet to the client upon request.
Properly dispose of any leftover beverages, refuse, and recyclables according to venue protocols.
3.Debrief with Bar Staff
The bar staff participate in a short post-event debrief to discuss relevant information related to the setup, execution, and breakdown of the event. The bar captain directs this debrief and solicits feedback through facilitating an open dialogue with the team. The captain documents this feedback to include in the post-event review.
